Volunteer Team Members
Join the OHUG Network of Volunteers OHUG has made a commitment to the user group community to solicit and maintain quality volunteer team members to serve on committees. The organization recognizes that volunteer team members are vital to sustain and accomplish the strategic goals of OHUG. OHUG board members are typically nominated from the volunteer team member pool, based upon volunteer team member involvement and contribution.

The OHUG volunteer director solicits volunteer team members and appoints members to serve on committees and special projects on an ongoing basis.

Volunteer team members shall meet the following eligibility requirements:

• Be an employee of a current customer of Oracle using the HCM product as a functional or technical resource; or

• Be a vendor for Oracle HCM products; or

• Be a professional consultant supporting Oracle HCM products or users

• Agree to sign an annual conflict of interest statement

• Be registered as a current OHUG member (membership is free)

• Be available for a minimum of eight hours per month; be willing to track monthly volunteer hours and report monthly hours to volunteer director

• Be willing to volunteer during the OHUG conference, if attending


We are actively seeking volunteers to fill the following roles :

Description of Responsibilities:

Conference Logistics Committee
Responsible for conference planning and overall logistics  for the annual conference

  • Develop requirements and manage audio visual for the conference sessions and events
  • Develop food & beverage orders to coincide with all conference events and work with hotel to execute
  • Work with Oracle chair to provide audio visual and food & beverage for various Oracle meetings during conference
  • Coordinate with vendor chair for exhibit hall food & beverage and AV requirements
  • Select and manage exhibition services firm for exhibit hall and other services
  • Coordinate conference registration activities with vendor
  • Work closely with program chair to ensure all logistics support program sessions
  • Work with other chairs such as education to ensure conference logistics support activities


Membership Committee

Responsible for increasing and maintaining OHUG membership focusing on PeopleSoft and Oracle members

  • Manage, build, modify, correct, and change the OHUG membership contact database as needed
  • Call or send emails on behalf of the board to welcome new members
  • Coordinate with OHUGWweb site chair to manage membership and field incoming questions
  • Review additional Oracle products for potential inclusion
  • Work with other user groups to promote OHUG membership
  • Work with Oracle to promote OHUG membership
  • Coordinate as needed to execute on IOUC initiatives

Program Committee
Responsible for the preparation, collection, review, and selection of presenters for the upcoming conference

  • Ensure web setup is complete for presenter information and abstracts prior to the Call for Presenters
  • Review tentative conference schedule outline with other board members prior to finalizing conference schedule
  • Work with Oracle chair in determining tracks for conference
  • Schedule program committee to meet weekly/biweekly after the cutoff has been made to ensure that the best papers and presenters are selected
  • Once presenters have been selected, contact each presenter hopeful with an acceptance or rejection letter
  • Work with Oracle chair in scheduling presenter by track and conference room
  • Prepare and finalize the conference abstracts to be posted on OHUG Web site prior to scheduled conference
  • Ensure all modifications to conference agenda/abstracts are updated in timely fashion prior to publication
  • Contact each presenter one or two weeks prior to conference for the collection of the conference white paper and answer any questions the presenter may have.
  • Ensure all presenter changes and cancellations are communicated to all conference attendees as soon as notification from presenter has been made to OHUG
  • Review survey results from most recent conference with other board members
  • Answer all questions presenters have via email or phone in a timely fashion
  • Coordinate class materials / white papers
  • Update OHUG members quarterly on new functionality
  • Coordinate ‘best practice’ Webinars, conference calls, or user conferences
  • Develop continuing education plan as part of the OHUG master project plan
  • Professional Certification accreditation
  • Member of IOUC Education
  • Coordinate Training Track at conference
  • Coordinate as needed to execute on IOUC initiatives


Marketing / Website Committee

Responsible for the design, development, and updates of the Web site and communication materials related to the OHUG

  • Graphic design for ads, signage
  • Conference Notebook design and coordination
  • Schedule and coordination of Webinars
  • Coordinate giveaways and promotional products
  • Overall OHUG branding
  • Coordinate forum moderators
  • Coordinate as needed to execute on IOUC initiatives
  • Send emails via the List Server regarding conferences, educational opportunities, sponsor promotions, and all other approved communication by the OHUG board
  • Manage questions from the Web site and delegate who should answer
  • Manage communications

Product Relations Committee
Product Relations Committee acts as a liason between Oracle Corporation (Product Development, Product Management and Product Strategy) and the OHUG members. The goal is to provide a single voice to Oracle of what the user group, as a whole, would like to see in the products. On the flip side the committee will assist Oracle in gathering together the interested members that are willing to provide feedback to them on a given topic(s).

SIG
The Special Interest Group Committee is focused on bringing value to each member through a sense of specialization. Today the SIG Committee is established, but has tremendous room for growth and increased value to each of its members and the association at large.  The goals are to increase membership within each of the SIGs, bring increasing value to the individual members, and provide a vehicle to and from Oracle Corporation. 2011 was a year of true growth and relationship building for the entire SIG Committee all the way down to the user community. This year was probably the hardest year we will ever have to face, as we were building the foundation of a strong committee that will only continue with the leadership and volunteer efforts of all involved. In 2012 each SIG will continue to grow and thrive and it is critical that we maintain and grow user reach within their sector, membership base, and activity to the OHUG community. The SIGs play an integral part in adding to OHUG participation and therefore an increase in attendance and membership.
